SUMMARY DESCRIPTION OF CLASSIFICATION:

Under general supervision, performs general office work in a school.  The work of the class consists of varied general office duties involving skilled operation of office equipment, standard office procedures and responsible contacts with students, parents and others. Workers maintain and report attendance, type reports, answer phones and take messages, photocopy and assemble materials, and maintain files. The work requires prior office clerical experience and the ability to acquire word processing skills. Fully experienced workers use initiative and independent judgment to follow through on matters to see that assigned tasks and activities are completed.

MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, ABILITIES, AND SKILLS:This position requires knowledge of all of the seven core competencies of the Supporting Services Professional Growth System (SSPGS) to include commitment to students, knowledge of job, professionalism, interpersonal, communication, organization, and problem solving.

Working knowledge of business English, spelling, and arithmetic. Working knowledge of modern office practices and procedures.  Ability to make minor decisions in accordance with established policies and procedures and to apply these to work problems. Ability to maintain clerical records and prepare routine reports from such records. Ability to maintain good relationships with the general public. Ability to communicate effectively with staff, parents,
students, members of the community and others.  Skill in the operation of a typewriter, and of a computer terminal to perform wordprocessing or data system tasks. Good human relations skills. Computer skills including word processing and database required.

EDUCATION, TRAINING, AND EXPERIENCE:

Graduation from high school and experience in performing general clerical work of a progressively responsible nature. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.)

Designated positions may require the sustained operation of keyboard devices.

SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Completion of the MCPS Typing Test at the required score.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Enrolls new students. Keeps pupils' record files up-to-date; withdraws pupils' records and forwards to new schools. assists in spring roundup kindergarten enrollments; keeps up-to-date office records of all students on class lists, card files and attendance reports. 

Answers telephone requests and complaints from parents, students, and central offices.

Gives messages to teachers and principals. Makes telephone calls for teachers and principals at their request.

Assists teachers and students in requests for information or supplies.

Gives first aid to children or takes them to health room when required; calls parents of injured or sick children. 

Uses typewriter or word processor to type reports, letters, forms, warehouse orders, memorandums, and stencils.

Operates ditto or mimeograph machines in duplicating notices for parents, memorandums, menus, and forms.

Sorts and distributes mail.

Counts, issues receipts for, and deposits money collections; orders and distributes supplies.

Files memorandums, purchase orders, bulletins, and receipts. 

Acts as school receptionist and greets the public by telephone as well as in person.

Directs all telephone calls and messages to proper recipients and assists students and teachers with proper information whenever necessary. 

Serves as clerical assistant to one or more assistant principals.

Uses typewriter or wordprocessor to type warehouse and requisition orders, daily bulletins, special bulletins, test materials, duty schedules, menus, and the school newspaper.

Operates standard duplicating machines in connection with the publication and distribution of a variety of typed materials.

Coordinates substitute teacher activity for school.

Informs substitute teacher in school procedures and transmits lesson plans and instructional materials. 

May oversee school financial matters involving student activities, such as sale of athletic event tickets, photographs, and trip tickets. 

May serve as attendance secretary.
