Bulk Mail Guidelines

Every school receives two free bulk mailings per year. Additional bulk mailings must be accompanied by a check addressed to MCPS. Contact the mailroom either by phone at 301-279-3149 or click here to email Ron Parrott, Jr. to find the current rate. Because of the lower postal rate, bulk mail is not given preferential delivery by the postal service.

Acceptable Mail
Non-personal messages
First page may vary as long as the remaining message and information is identical. For example, one bulk mail can contain: Dear Kindergarten Parent followed by same information and then Dear Sixth Grade Parent followed by the same information.

Unacceptable Mail
Personal message or information such as: Dear John or Dear Mrs. Smith or Your class time will be ________.

Size
All pieces must be identical in size and weight
Maximum weight per piece is 15.9 ounces
Minimum size per piece is 3 1/2 x 5 inches
Minimum thickness per piece is .007 inches
Minimum number of pieces is 200
You do NOT need to use an envelope

Guidelines for Sending Bulk Mail Items WITHOUT an Envelope
Imprint on outside sheet in upper right hand corner should read as follows:
     Non-Profit Org.
     U.S. Postage Paid
     Rockville, MD
     Permit No. 201
Single or multiple sheet mailing is folded in half with sticky tab (Warehouse Item #0721380) to seal. Use two tabs for single sheet mailing. Use one tab for multiple sheet mailing.
No staples are allowed.

Addressing
ALL pieces must have permit imprint in the right hand corner of the envelope or on the cover sheet.
Because MCPS is the permit holder, MCPS and your school name must be in the return address position.
For example:
     

Sorting
Each piece must face the same direction
Each piece must be sorted by zip code
Secure same zip code pieces with two thick rubber bands; one placed horizontally and one placed vertically
Separate same zip code pieces into bundles (no more than 4 inches thick)

Delivery
Place in cardboard boxes for PONY pickup
Write total number of pieces on one of the boxes
