WORKING TITLE: Office Assistant II GRADE: 09 MONTHS: 10
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs general clerical work requiring skilled use of office equipment or experienced application of unit procedures. Work consists of well defined tasks performed in accordance with clearly established work guides and procedures. Workers complete recurring assignments on their own after becoming familiar with the work. Assignments typically involve operation of typewriters, word processors, desktop computers, scanners and similar office equipment. Workers understand and apply unit procedures and policies to normal, standard tasks.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: MCPS typing test required with the minimum required score achieved. Good knowledge of business English, spelling, and arithmetic; knowledge of modern office practices and procedures. Ability to apply departmental policies and procedures to standard work situations; ability to maintain clerical records; ability to check, verify and compile data. Ability to operate, or to learn to operate, word processing equipment and to perform routine word processing tasks. Ability to operate high speed photocopy equipment. Ability to communicate effectively with others. Skill in the operation of a typewriter or word processing keyboard. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Minimum 6 months experience in performing general clerical work. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: None.
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Designated positions may require the sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) MCPS typing test required with the minimum required score achieved.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Operates computer to enter data and maintain computerized office or unit records, for example: supply orders, customer bills, schedules, bus runs, employee files, forms inventory.

Checks and verifies data, such as, part numbers, hours worked on repair orders and calculate labor time makes corrections as needed.

Maintains vehicle component replacement records and checks vendor invoices for accuracy.

Checks and verifies purchase orders verifying correct account number, school number, year and/or signatures; numbers and enters purchase orders in appropriate systems.

Maintains computerized data by accessing current database system such as Excel, Filemaker, etc; entering, verifying, updating and retrieving data; and creating forms, lists, summaries, and reports as requested.

Operates a variety of photocopy machines, fax and other available office to produce desired output.

Answers telephones, takes/delivers messages; responds to inquiries regarding unit services; greets and directs visitors to appropriate staff memeber.

In a school, logs requests for substitute teachers as directed.

Performs related work as required.
