SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction, coordinates and supervises the day-to-day clerical/secretarial work of the office and provides high level executive secretary services. The nature of the work performed in this office requires a thorough knowledge of MCPS operating procedures, organization, functions, personnel, and programs that involve the use of sound judgment confidentiality, and professionalism when supervising and directing the workflow of support staff and interacting with the public, government officials, and MCPS staff. Work of the class oversees office operations, coordinates the office support staff, assigns work to the support staff team, initiates and controls ongoing reporting and communications functions of the office. The work requires a thorough understanding of school system organization and functions, and strong secretarial skills.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Thorough knowledge of effective office management and business practices, business English, spelling, general vocabulary, computational skills, and the organization and functions of the major units of Montgomery County Public Schools. Ability to perform, without direct supervision, continuing assignments requiring the organization of materials and preparation of reports. Ability to use resourcefulness and tact, recognizing established precedents and practices, when making decisions and solving problems. Ability to use computers and related technologies to schedule and track office assignments, to produce letters and reports, and to complete other complex word processing and data management tasks. Strong skills using the Microsoft Office and Google suites to create and edit presentations, spreadsheets and complex written documents. Ability to proof documents to ensure accuracy of content, alignment with MCPS formatting and correct grammar. Exceptional organizational and prioritization skills to support the management numerous ongoing projects and work expectations. Excellent oral, written, and interpersonal communications skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: Associates degree required. Four years of experience with considerable progressively responsible office management experience providing high-level secretarial/data management functions using modern office technologies (preferably with Montgomery County Public Schools or other school systems), proven ability to coordinate and manage the work of others; Demonstrated editing experience and thorough familiarity with MCPS correspondence standards and business English, including strong spelling and grammar skills. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Plans, assigns, and coordinates the work of all office staff that provide secretarial/clerical support to office administrators

Leads the supporting services team for the office; oversees task and project assignment and monitors progress.

Reads and distributes incoming print and electronic mail, determining the appropriate handling of each communication.

Independently replies to a variety of correspondence and memoranda preparing letters and memoranda for signature by appropriate administrators.

Maintains work load, work schedules and tracks leave requests for the office.

Models professionalism, sensitivity, and confidentiality to assure the best customer service on the telephone and in person.

Schedules meetings and appointments; making arrangements for space, time, people to attend, etc.,

Reschedules, without supervision, appointments for office leadership if unexpected or urgent matters of importance occur.

Reviews written materials prepared for the Board of Education, the superintendent, or other executive leadership team members, ensuring correctness of grammar, typing accuracy, and conformance to policies and regulations.

Receives telephone calls and visitors, determines nature of their business, then, exercises sound judgment and decision-making skills to resolve many sensitive matters and to refer persons to the office that can best address their needs and concerns.

Assists the office leadership in managing the office budget.

Operates appropriate software applications, including but not limited to the Microsoft Office and Google suites to meet the demands of the work and instructs others in the operation of such equipment as required.

Works in partnership with office and school system colleagues to facilitate cross-office collaboration to ensure the work is complete on time and with high-quality.

Leads development of correspondence and reports by researching, writing and reviewing draft documents.

Prepares/oversees/proofreads agendas/talking points for daily meetings, Board of Education meetings, and special events.

Drafts documents for office administrators in response to internal and/or external requests.

Leads special projects and ensures tasks are completed in a timely manner.

Demonstrates the core values of the school district as it relates to interaction and collaboration with staff and community.

Performs related work as required.
