WORKING TITLE: Staffing Assistant, Substitute Teacher Office GRADE: 15 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, assists Human Resources staffing analysts and specialists in providing services to applicants, teachers and administrators. The work of this position includes providing secretarial services including telephone, typing, data entry and receptionist services scheduling interviews, preparing files and processing personnel transactions related to transfers and new teacher or supporting services employments. Staffing assistants must know and apply applicable rules, procedures and regulations to ensure accuracy and to follow up on and correct problems demonstrating a strong commitment to excellent customer service.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Thorough knowledge of MCPS policies and procedures Considerable knowledge of personnel processing procedures and applicable rules and regulations. Working knowledge of business English and spelling. Working knowledge of modern office practices, procedures and equipment is essential. Ability to perform a wide range of standard office clerical tasks quickly and efficiently. Ability to maintain complex records and to prepare reports from such records. Ability to make decisions based upon experience, good judgment, and established departmental policies, procedures, and regulations. Ability to operate word processing equipment with proficiency and to demonstrate a working knowledge of other PC applications to include spreadsheets. Knowledge of, or a demonstrated ability to quickly learn to use locally developed and commercial applicant tracking software. Must possess excellent communication, organizational and interpersonal skills, demonstrating a commitment to customer service. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: Graduation from high school and experience in performing personnel processing work. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered..
CERTIFICATE AND LICENSE REQUIREMENTS: None
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Positions require the sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) As a business requirement the weekday work hours are 6:30 AM to 3:00 PM in the substitute office only . Attainment of a required score on the MCPS Typing Test may be required of designated positions. Ability to work overtime as required. Annual leave limited during the school year.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Uploads schools and classification preferences into substitute profiles on Substitute Employee Management System.

Completes employment transactions and serves as technical resource on transactions processing.

Schedules and maintains appointments for substitute teacher interviews.

Answers telephone inquiries about programs and services responding to questions from applicants and staff regarding the employment process, position allocations and related issues.

Sets up and maintains employment files coordinating record keeping with others involved in applicant tracking and new employment processing.

Resolves substitute daily job discrepancies calling schools and offices to determine causes and makes appropriate adjustments.

Works with school administrative staff and staffing coordinators units to hire long term substitute teachers for open vacancies in schools.

Maintains list of recent and newly hired substitute teachers.

Processes new hires in HRO.

Scans and uploads documentation into applicant profiles.

Prepares documentation and arrange room for substitute teacher orientation.

Assists schools and substitutes with filling daily substitute teacher openings.

Works closely with substitute staffing team.

Performs related duties consistent with the scope and intent of the position.
