WORKING TITLE: Transportation Special Assistant GRADE: 15 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction, performs varied administrative support tasks, often with sensitive and confidential material, for the administrators and staff in the Department of Transportation. Provides primary support to assistant director of transportation. Must be able to research, investigate or analyze, and consider several variables before acting. Exercises considerable initiative by gathering information, assembling information for reports coming due, tracking events or situations and keeping the assistant director informed. Serves as liaison with the county attorney's office for bus incidents/accidents and coordinates security logs for the six transportation locations. The work requires an extensive understanding of departmental organization, transportation policies and procedures.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: MCPS typing test required with the minimum required score achieved. Considerable knowledge of business English, office procedures and equipment; working knowledge of the general organization and functions of the major units of MCPS. Ability to keep complex records, assemble and organize data and to prepare reports from such records; ability to compose memoranda and letters from general instructions; ability to carry out continuing assignments on own initiative; ability to take notes for group meetings may be required for some positions. Ability to work with other county agencies. Ability to speak a second language desirable. Ability to use standard office productivity computer programs. Ability to evaluate in-coming emergency data concerning accidents or incidents on school buses to react effectively and to determine next step. Ability to perform under pressure to meet deadlines.Good oral and written communications and human relations skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Progressively responsible experience as a secretary and extensive knowledge of the Department of Transportation required. Knowledge of Department of Transportation and state mandated COMAR regulations, policies, and procedures required. Other combinations of applicable education, training and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Provides primary administrative support to the assistant director of transportation.

2. Provides background research at the director's request.

3. Responds to telephone calls from parents, schools, other MCPS staff, and others concerning transportation issues and any emergencies.

4. Attends meetings and takes notes; sets up and maintains unit files; researches and compiles information for reports and other purposes; prepares written materials from drafts, machine or oral dictation, verbal instructions or on own.

5. Maintains security log for transportation locations.

6. Acts as liaison for the county attorney's office.

7. Maintains data about bus incidents/accidents.

8. Initiates actions to keep assistant director informed of operations and coordinates schedule of assistant director.

9. Assists in office management operations.

10. Instructs and explains matters involving office systems and communications policies and procedures to personnel in divisional subunits; ensures understanding and compliance with established policies and guides.

11. Receives and screens visitors to office.

12. Performs skilled word processing and record-keeping. maintains electronic data files of documents following established procedures for creating backup files, purging files, and storing files.

13. Answers inquiries regarding programs and services, explaining requirements and assisting callers in completing forms or other actions; maintains office or unit records for program and processes actions.

14. Performs related work as required.
