Materials and Property Assistant

WORKING TITLE: Materials and Property Assistant GRADE: 13 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction, assists in providing materials management customer support; assist in expediting furniture, equipment and supply orders; provides follow up to investigations insuring that all vendors deliver services and products according to contract; assists in maintaining a vendor performance database; assists in providing effective telephone support for all logistical requests; assists in maintaining inventory of fixed assets; enters data on fixed assets into a computerized physical asset inventory control system.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Considerable knowledge of the fundamental procedures and practices of expediting. Some knowledge of inventory procedures. Some knowledge of modern office procedures and practices. Working knowledge of business English and spelling. Ability to deal courteously and effectively with a wide variety of people; ability to exercise judgement in resolving problems; ability to maintain complex records and to prepare reports from such records; ability to make decisions based upon experience, good judgement, and established departmental policies, procedures, and regulations. Skill in the operation of word processing equipment. Good oral and written communications and human relations skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Experience in progressively responsible office, general clerical, or typing work. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Ability to operate computer terminal for prolonged periods.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Enters data from receiving reports and other documents into computerized physical asset inventory system.

2. Enters serial numbers, location and identifying data; updates system with changes and deletions.

3. Produces daily report of inventory actions and saves data on a disk.

4. Maintains files and records; proofs reports and corrects information as appropriate.

5. Assists in expediting materials and vendors.

6. Assists in maintaining a vendor-performance database.

7. Assists in providing support in the completion of all logistical requests by maintaining an accurate database.

8. Performs general office clerical work as assigned.

9. Performs related work as required.
