| Under direction, manages and coordinates the day-to-day
clerical/secretarial work performed by deputy superintendent
or chief operating officer office staff, and personally
provides executive-level secretarial service. The nature
of the work performed requires a thorough knowledge
of MPCS organization, functions, personnel, and programs,
and involves the use of sound judgment and tact when
supervising the work of others and interacting with
the public, government officials, and MCPS staff.

| This position requires knowledge of all of the seven core competencies of the Supporting Services Professional Growth System (SSPGS) to include commitment to students, knowledge of job, professionalism, interpersonal, communication, organization, and problem solving. Thorough knowledge of effective office management and
business practices, business English, spelling, general
vocabulary, computational skills, and the organization
and functions of the major units of Montgomery County
Public Schools. Ability to perform, without direct supervision,
continuing assignments requiring the organization of
materials and preparation of reports. Ability to use
resourcefulness and tact, recognizing established precedents
and practices, when making decisions and solving problems.
Ability to use computers and related technologies to
schedule and track office assignments, to produce letters
and reports, and to complete other complex word processing
and data management tasks. Excellent oral, written,
and interpersonal communications skills.

| High school graduate with completion of some college
course work highly desirable. Requires progressively
responsible office management experience, including
experience within Montgomery County Public Schools;
proven ability to coordinate and manage the work of
others; and personal expertise in secretarial/data management
functions including the use of modern office technologies.
Other combinations of applicable education, training,
and experience, which provide the knowledge, abilities,
and skills necessary to perform effectively in the position,
may be considered. |

Plans, assigns, and coordinates the work of all office
staff that provide secretarial/clerical support to office
administrators
Reads and distributes incoming mail handling some personally,
and directing the remainder - some to the deputy superintendent
with background material and some to the associate superintendents
or their subordinates,
Independently replies to a variety of correspondence
and memoranda preparing letters and memoranda for signature
by appropriate administrators.
Schedules meetings and appointments making arrangements
for space, time, people to attend, etc., Reschedules,
without supervision, appointments if unexpected or urgent
matters of importance occur.
Reviews written materials prepared for the Board of
Education, the superintendent, the deputy or the chief
operating officer editing content, correctness of grammar,
typing accuracy, and conformance to policies and regulations.
Receives telephone calls and visitors, determines nature
of their business, then, exercises sound judgment and
decision-making skills to resolve many sensitive matters
and to refer persons to the office that can best address
their needs and concerns.
Operates word processing and other modern office equipment
in the completion of complex and varied word processing
tasks and instructs others in the operation of such
equipment as required.
Performs related work as required. |
