SUMMARY DESCRIPTION OF CLASSIFICATION:

Under general supervision, performs responsible financial bookkeeping, clerical and secretarial work in a large school office.  Work of the class is distinguished from that of other school secretarial classes by having primary responsibility for all school-related financial transactions carried on as part of the junior and senior high schools' office function. Work involves responsible contacts with students, school administrative and instructional staffs, the central office staff, and vendors. Employees in this class exercise considerable independence in setting up their books in accordance with sound bookkeeping practices, scheduling their work, and making necessary contacts.

MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, ABILITIES, AND SKILLS:

This position requires knowledge of all of the seven core competencies of the Supporting Services Professional Growth System (SSPGS) to include commitment to students, knowledge of job, professionalism, interpersonal, communication, organization, and problem solving. Working knowledge of bookkeeping, business English, spelling arithmetic and modern office practices, procedures and equipment.  Ability to make decisions in accordance with established school policies and procedures and the ability to apply these to work problems; ability to maintain clerical records and prepare reports; ability to work effectively with students, the administrative and instructional staffs, school secretarial employees, and the central office staff. Skill in the operation of a typewriter and calculator.  Good human relations and communications skills.

EDUCATION, TRAINING, AND EXPERIENCE:

Graduation from high school including or supplemented by courses in bookkeeping and considerable experience in bookkeeping, clerical and secretarial work and office practices and procedures. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

CERTIFICATE AND LICENSE REQUIREMENTS: None

PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Designated positions may require the sustained operation of keyboard devices.

SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.)

Completion of the MCPS School Financial Assistant Test at the required score.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

    • Maintains a complete accounting system for the receipt and disbursement of school and student activity funds.
    • Makes ledger and journal entries; takes trial balances.
    • Prepares periodic financial reports for principals, account sponsor and central office. 
    • Issues receipts for and deposits money in bank; issues and signs checks from appropriate accounts.
    • Requisitions a wide variety of materials, supplies and services; contacts vendors by letter or telephone regarding status of orders; approves invoices for payment and issues vouchers. maintains a student obligation file; completes building use forms and permits. 
    • Performs school secretarial duties. 
    • Other responsible school office functions in addition to the above may be assigned to employees in this classification.
    • Performs related work as required.
