SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction, performs varied office support tasks, often involving sensitive and confidential work for administrators and staff in the Office of the Superintendent. Provides primary secretarial support for the special assistant to the superintendent maintaining calendars, logs and records, databases, and preparing routine correspondence. Exercises considerable initiative anticipating requirements of administrators, tracking special events or situations keeping staff informed. Work involves frequent contact with high-level officials in MCPS and in other organizations, requiring sensitivity and good judgment. Work requires an understanding of MCPS systemwide structure, Board policies and regulations, state and county government structure and operation.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, ABILITIES, AND SKILLS: This position requires knowledge of all of the seven core competencies of the Supporting Services Professional Growth System (SSPGS) to include commitment to students, knowledge of job, professionalism, interpersonal, communication, organization, and problem solving.

Extensive knowledge of business English, spelling, general vocabulary, and arithmetic; modern office practices, procedures, equipment; and the general organization and functions of major MCPS units. Ability to keep complex records, to efficiently operate office equipment, and to develop spreadsheets and databases as needed to manage information and prepare reports from such records; to compose memoranda and letters from general instructions; to carry out assignments on own initiative, and to handle confidential and controversial matters with judgment and tact. Requires excellent communication and interpersonal skills.
EDUCATION, TRAINING, AND EXPERIENCE: Graduation from high school and considerable, progressively responsible experience in the secretarial field, including experience with Montgomery County Public Schools. Completion of some college coursework desirable. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: Notary Public license desired.
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Sustained operation of keyboard devices. Ability to move and position equipment for meetings and presentations.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Ability to perform under pressure to meet deadlines. Overtime work required frequently.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Provide secretarial support for the special assistant to the superintendent by maintaining an appointment calendar, scheduling meetings, drafting memorandums and letters, filing, maintaining logs and records, creating and maintaining data bases.

Provide administrative and clerical support for regular meetings (Administrative Assistants, Executive Staff, Instructional TV, Superintendents Office Staff.)

Provide administrative and logistical support for superintendents meetings and forums by securing locations, materials, invitations, equipment, refreshments etc.

Generate and edit charts & graphs for use in the superintendent's presentations.

Oversee the superintendent's ABCD awards reviewing requests, drafting responses, maintaining logs, coordinating dates, and notifying the Bulletin editor.

Coordinate collection of Talking Points data for the superintendent.

Collect time sheets and enter payroll data for office staff.

Maintain correspondence log and generate reports using Microsoft Access.

Order and monitor the use of supplies & equipment.

Performs related work as required.
