| Under direction, coordinates and manages the systemwide
central records unit responsible for the control of
all systemwide forms, and coordinates the collection
and dissemination of statistical data used for federal,
state, and Montgomery County Public Schools (MCPS) reports;
ensures coordination of policies, regulations, forms,
and records.

| This position requires knowledge of all of the seven core competencies of the Supporting Services Professional Growth System (SSPGS) to include commitment to students, knowledge of job, professionalism, interpersonal, communication, organization, and problem solving.Demonstrated skill and ability to maintain a system
of central records, to include current and historic
files and the disposal of outdated records. Considerable
knowledge of record-keeping procedures. Considerable
knowledge of local, state, and federal requirements
relating to retention of information about MCPS. Considerable
knowledge of mainframe and personal computers and the
kinds of information stored on and used with each. Ability
to determine a match between existing data files and
required reporting formats, and to calculate basic statistics
from existing data. Ability to write clear, concise
memoranda to a variety of people with different purposes.
Ability to organize and manage several tasks concurrently.
Excellent communications and interpersonal skills. Other

Bachelor’s degree from an accredited college or university with course work in business, public administration,statistics and computer applications, or closely related subject areas. . Considerable experience in analyzing, collecting, and reporting data; interpreting computer outputs; identifying errors; and solving problems relating to statistical data. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

Monitors Maryland State Department of Education (MSDE)
regulations regarding records retention.
Supervises the MCPS Records Management program, ensuring
that records comply with federal, state, and school
system policies and regulations.
Supervises the management of the off-site Central Records
facility, which maintains inactive records and microfilm
records for long-term retention, and provides consultation
to staff on records creation, maintenance, and retention.
Supervises the Forms Management program, which collects
information in accordance with federal, state, and system
policies and regulations.
Designs systemwide forms and ensures that the forms
are produced in the most efficient way and that the
number and quantity are in sufficient supply.
Monitors all requests for data/information received
by the superintendent's office and processes all requests
for student directory information.
Monitors for the superintendent's office the submission
of reports to outside agencies prepared by all organizational
units of MCPS.
Supervises the ordering and distribution of diplomas
for all students.
Organizes and prepares a wide range of statistical
reports, such as the MCPS statistical profiles, individual
school reports, the Office for Civil Rights report,
and class size reports.
Keeps abreast of local, state, and national developments
in order to affect change in operations.
Keeps abreast of current technologies that allow records
and forms to be addressed in the most effective and
efficient manner.
Prepares an annual budget with supporting data to
the superintendent and the Board of Education.
Encourages staff to participate in workshops and training
sessions designed to improve work related competencies.
Selects, assigns, supervises and evaluates staff.
Performs related work as required. |
