WORKING TITLE: Appeals Transfer Control Assistant GRADE: 16 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs responsible and varied clerical and office work in the Office of the Chief Operating Officer, Appeals/Transfer Team. Responsible for maintaining correspondence controls for communications received in the office, and for preparing appeal files for hearings and other types of appeals, including contacting appropriate individuals to schedule conferences with hearing officers. Performs varied office and secretarial duties. Nature of the work requires ability to function effectively under tight deadlines.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Good knowledge of business English, spelling, arithmetic, and editing skills. Knowledge of MCPS regulations, procedures, and organization. Good knowledge of modern office practices, procedures, and equipment. Ability to maintain a correspondence control system and complex records and to prepare reports from such records. Ability to organize and prioritize work, manage a number of ongoing tasks, and work effectively under difficult deadlines. Ability to exercise sound judgment in completion of assigned work. Skill in the proficient operation of a computer. Skill in the operation of word processing applications and database management. Good human relations and communication skills. Completion of the MCPS Typing Test at the required score. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System.
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Associates degree preferred. Minimum two years experience with considerable progressively responsible office, clerical and typing work experience. Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: None.
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Position requires the sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Ability to meet deadlines and work overtime as required.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Schedules appeal hearings with citizens and hearing officers.
Initiates correspondence and follows up as required.
Types correspondence, reports, tables, and graphs; sets up meetings; and maintains appointments calendar.
Maintains database of all appeal/transfer activity.
Maintains the correspondence control system to maintain accurate records of the status and location of incoming and outgoing correspondence.
Accesses OASIS to get student information, generate reports, etc.
Answers telephone calls, giving out a variety of procedural information in many cases and directs other calls to the proper person.
Serves as receptionist for the office.
Provides backup support to other positions within the office through such activities as typing correspondence and purchase orders, answering allocation questions, and checking on proper account numbers.
Provides office-related support to the Office of the Chief Operating Officer.
Performs other related work as required.
