WORKING TITLE: Buyer Assistant I GRADE: 12 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction provides support for the office staff and customers. The position acts as the liaison between current and potential suppliers, all MCPS staff, community partners and the procurement office. Provides customer support for the Financial Management (FMS) including the Purchasing and iProcurement modules. Supports activities related to expediting goods and supplies to MCPS schools and offices. Responsible for receiving, reviewing and resolving helpdesk tickets (via the Unicenter database) related to FMS, iProcurement.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Experience using the Microsoft suite that includes Word, Excel, PowerPoint and related applications; Ability organizing and maintaining files; Exceptional written and oral communication skills; Ability to work well and multitask in a fast-paced environment; Considerable knowledge of the fundamental procedures and practices of purchasing and expediting. Ability to deal courteously and efficiently with a wide variety of people and issues; Ability to exercise judgment in resolving problems and overcoming difficult situations; Knowledge of the Unicenter Help Desk; Ability to extract data from FMS and create reports for review and analysis; Excellent oral and written communication; Excellent human relation skills and the ability to deal with a wide range of customers; Knowledge of the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: Graduation from high school, including or supplemented by courses in typing, basic computer software and hardware and/or experience in performing responsible work in an office environment. Other combinations of applicable education, training, and experience which provide the knowledge, abilities; and skills necessary to perform effectively in the position may be considered.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Provides FMS support for staff and customers.

Consults with MCPS staff and suppliers while researching questions and problems.

Provides assistance to suppliers regarding inquiries of MCPS programs and other business opportunities.

Prepares supplier performance reports as directed.

Maintains the supplier database for all bids on the computer system.

Monitors the RightFax server and corrects any un-transmitted purchase orders.

Monitor and resolve Helpdesk ticket issues using the Unicenter database.

Assists in the execution of approving requisitions into standard purchase orders and blanket releases.

Under the direction of the buyer assists in the preparation of solicitations from printing, advertising, mailing, openings, inputting prices, proofing bid tabs, awarding and award notifications.

Perform related duties, as required.
